 Oversees warehouse inventory, issuance and delivery of agency’s supplies, and purchasing department functions. Ensures proper record keeping of receipts and issues and manages the schedule of courier/delivery routes. Ensures periodic inventory of stock is carried out. Manages and assists with administering and monitoring of procedures, policies, and systems related to accounting activities including warehouse inventory and agency purchases.

  • Regular attendance at Employer’s place of business and/or during particular hours, as assigned, is an essential function of this position. Employee must comply with and follow YWCA’s attendance policy at all times, unless a reasonable accommodation is requested and granted, as required by law.
  • Supervises day-to-day operations and assigned staff. Hires, supervises, trains, counsels, evaluates and/or terminates employees in assigned department in consultation with CFO, Controller, and Human Resources Administrator.
  • Maintains warehouse inventory software and ensures accuracy of the data at all times.
  • Completes purchases for warehouse supplies in compliance with finance policies and procedures.
  • Monitors ordering and receipting of materials and supplies for warehouse and facilities. Monitors warehouse invoices, purchases, receipts and picking tickets for accuracy.
  • Researches product lines, prices, product sources and other relevant purchasing information.
  • Plans layout of warehouse(s) and other storage facilities to assure proper and efficient storage.
  • Implements inventory controls as required and conducts monthly inventories of supplies and materials.
  • Maintains inventory account reconciliations.
  • Enforces and complies with safe working and storage practices and procedures.
  • Ensures that warehouse and other YWCA facilities have updated master MSDS books.
  • Plans master schedule of delivery vehicle and coordinates schedules with programs for delivery and pick-up of courier items.
  • Maintains required work-related certifications and notifies supervisor of any change to personal driving record, including moving violations.
  • Implements and manages department related procedures and Board approved policies and objectives.
  • Prepares and monitors budgets, financial statements and operating data. Reviews billings and expenditures; and reviews, interprets and reports on actual performance compared to budget monthly, recommending corrective action to alleviate variances. Reports usage data for relevant line items to Accounting Department.
  • Performs functions of supervised staff in employees’ absence.


  • A college degree in business or a combination of sufficient experience, skills, training, and accomplishments to be comparable in related field.
  • One (1) year supervisory experience required.
  • Two (2) years progressively responsible experience in receiving, storing and issuing materials, supplies and equipment, retail management; or any equivalent combination of experience and training that provides the required knowledge skills, and abilities.
  • Proficient in Microsoft applications such as Access, Excel and Word.
  • Proficient in using the YWCA inventory system, Financial Edge, and fixed asset scanner.
  • Knowledge of inventory practices, maintenance and controls required.
  • Knowledge of janitorial and office supplies preferred.
  • Must have general knowledge of safe working practices with ability to enforce them, along with knowledge of office practices and procedures.
  • Hands-on experience evaluating, implementing, documenting and training staff on software.
  • Must have analytical ability and be detailed oriented.
  • Must be well organized and be able to handle multiple priorities.
  • Excellent verbal and communication skills required, along with good listening ability. Technical writing ability required.
  • Excellent interpersonal skills required, with ability to interact at all levels.
  • Must possess creative energy, be a self-starter, require minimal supervision, and be able to work individually and as a member of a team.
  • Must be flexible and able to work under pressure with constant interruptions.
  • Must be able to work independently and autonomously.
  • Must be able to make sound judgments, have excellent decision making skills, and possess strong conflict resolution skills.
  • Must have access to vehicle and possess valid driver’s license and sufficient liability insurance.
