Job Summary
Under general supervision, assists the Resource Development and Impact (RD&I) Division in designing, implementing, and coordinating a comprehensive operational calendar for fund development activities.  The Development Assistant will perform duties related to organizing, coordinating and preparing for the stewardship program; logistics related to special events hosted by the YWCA El Paso Del Norte Region; and day to day maintenance of the organization’s donor, volunteer, and grants databases. Assists with other projects as related to the Marketing and Communications, Fundraising, and Grants departments.

Key Responsibilities
*  Regular attendance at Employer’s place of business and/or during particular hours, as assigned, is an essential function of this position.
*  Support all fundraising initiatives for YWCA.

Database Management and Prospect Research (40%)
Conducts day to day maintenance of the Division’s databases, to include producing weekly and monthly reports for the RD&I team.
*  Produce regular reports to ensure compliance with established fund descriptions and restrictions.
Works with the YWCA administrators to ensure proper collection of information to be entered into the Division’s databases.  In consultation with the RD&I Administrator, Associate Administrator, and Director of Community Engagement, capture contacts made with donors and prospective donors. This may include coordination of research for visits, preparation of mailing lists or other various stewardship activities.

Stewardship (35%)
Oversee the recognition of constituent birthdays, anniversaries and deaths.
*  Produces acknowledgments of all gifts in accordance with written stewardship chart, and ensures that all constituents receive appropriate documentation within one week for all contributions in excess of $250.
Work in collaboration with various programs and departments to ensure appropriate recognition of all supporters.
*  Work with Fundraising Office and Marketing to develop creative and personalized stewardship and cultivation efforts for all donors.
*  Seek continuous improvement of all stewardship activities including streamlining tasks and developing efficiencies related to stewardship activities.
*  Address constituent concerns regarding stewardship issues.

Event Coordination (20%)
Create and prepare mailing lists, invitations, mail merges, RSVP lists and materials for special events including post-event follow-up.
*  Assist with the planning and coordination of events to promote stewardship, cultivation and recognition of all giving.
*  Assists in registering participants for all special events.

Administrative Support (5%)
Maintains inventory of promotional collateral and distributes items as necessary.
*  Writes and submits all purchase orders, check requests, petty cash forms and reimbursement forms according to proper accounting procedures.

Job Qualifications
Associate’s Degree and at least two (2) years’ experience, or equivalent combination of education and experience.

Experience
Experience working with Constituent Relationship Management (CRM) software.  Previous working experience in event planning and coordination.
