JOB SUMMARY:
Under occasional executive direction, coordinates and administers all aspects of programs offered to School Age children at multiple sites and programs. This position will specifically perform duties related to educational programs and grants for the YWCA.
- Regular Attendance at Employer’s place of business and or during particular hours, as assigned, is an essential function of this position. Employee must comply with and follow YWCA’s attendance policy at all times, unless a reasonable accommodation is requested and granted, as required by law.
- Leads the strategic initiatives aligned with the division’s overall goals.
- Administers, directs and monitors assigned programs, operations and contracts in compliance with licensing, regulatory, legal or other contract requirements including the School-Age, 21st Century and STEAM programs as well as other school-age related initiatives.
- Researches, purchases and implements standardized curriculum for assigned programs. Responds to requests for new programs or sites.
- Hires, supervises, trains, counsels, evaluates and terminates employee direct reports in assigned departments. Terminates employees in consultation with COO and Human Resources Officer.
- Develops, administers and implements divisional procedures and Board approved policies and objectives.
- Prepares and monitors budgets, financial statements and operating data. Reviews billings and expenditures; and reviews, interprets and reports on actual performance compared to budget monthly, taking corrective action to alleviate variances.
- Safeguards YWCA assets by ensuring collection and depositing of all fees in accordance with Finance Policies.
- Develops, implements and administers marketing surveys, marketing plans, strategic and tactical planning, and metrics for assigned programs and operations. Performs market surveys and submits fee structure to Finance Committee for approval. Develops and implements various methods for promoting programs and services in coordination with marketing and communications staff.
- Serves as Staff Liaison to assigned Committees maintaining regularly scheduled committee meetings, committee binders, minutes, attendance lists and committee member lists.
- Submits periodic reports to Chief Operating Officer, Chief Executive Officer, Chief Financial Officer, and YWCA Board of Directors.
- Assures continued funding of school-age services through development and submission of proposals and grants, meeting of performance measures and compliance with contract terms.
- Develops, implements, and reports on Program Evaluation and Annual Business Plan Metrics to demonstrate divisional performance and KPIs related to overall divisional goals and agency’s strategic plan alignment.
- Maintains visibility in the community. Assures appropriate representation and communication with numerous federal, state, and community resources by members of the staff.
- Interprets, role models, and enables the YWCA’s mission, hallmark programs, leadership core values, and racial justice core values to employees and the public.
- Follows all YWCA policies and procedures, including safety procedures, at all times.
- All employees are responsible for maintaining a safe workplace environment. This responsibility includes, but is not limited to, reading and following the YWCA’s safety policies, safety programs, emergency preparedness, and general safety procedures. Employees are also responsible for immediately reporting any safety violations of the facility, employees, participants and/or third parties, to their supervisor and the Safety Manager.
- Communicates with all levels of staff and public as appropriate to the job.
- Conducts and attends meetings and training sessions as required.
- Responsible for all equipment, supplies, documents and materials related to job.
- Communicates all problems and questions to supervisor.
- Complies with all federal, state, and local regulations.
- Assures proper storage of all records.
- May perform duties of assigned staff as needed; and performs other duties as required by supervisor.
- May assume additional responsibilities as assigned by the Chief Operations Officer.
- Participates in various internal and external committees and boards.
- Attends industry meetings, seminars, trade fairs, civic and service clubs related to areas of responsibility and promotes the agency’s good will and public image. Participates in area service and civic groups to gather information and seek support of these groups in charitable activities on behalf of the agency.
- Develops and participates in committees to enhance divisional performance, including Board Advisory Council and Parent/Staff Advisory groups.
JOB QUALIFICATIONS:
- Bachelor’s degree in Business, Public Administration, or Child Development required. Master’s degree in related field preferred.
- Five (5) years direct experience in related field supervising multi-site afterschool and STEAM programs administration required.
- Three (3) years administrative experience and supervision, engagement, training, management and motivation of staff required.
- Must demonstrate creativity, creative, flexibility and able to handle multiple priorities.
- Must demonstrate ability to financially manage multiple cost centers and prepare financial and operational spreadsheets and reports.
- Excellent verbal, written communication, and interpersonal skills required with ability to interact at all levels.
- Must be familiar with standards and regulatory compliance with Texas Department of Family and Protective Services (DFPS) licensing requirements and other appropriate government laws and regulations.
- Love of children, patience, stamina and flexibility required.
- Must be able to establish and maintain a positive community image.
- Must have analytical ability and be detailed oriented, well-organized and be able to handle multiple priorities.
- Must be able to work under pressure with constant interruptions.
- Must be able to work independently and autonomously.
- Must be able to make sound judgments, have excellent decision making skills, and possess strong conflict resolution and problem- solving skills.
- Must have working knowledge of operation of personal computer and MS Office software, as well as experience with human resources-related and accounting-related software applications.
- Must have access to vehicle and possess valid driver’s license and sufficient liability insurance.
- Must be able to prepare comprehensive reports and prepare strategic and necessary reports as directed by COO.
